Fujifilm Europe is committed to protecting your privacy at all times by solely collecting and processing your data in accordance with the applicable data protection laws, including in particular the General Data Protection Regulation (EU) 2016/679 (GDPR).
This privacy policy explains how we process your personal data during the application and hiring process.
Who is responsible for processing your personal data within this Platform?
FUJIFILM Europe GmbH (“FUJIFILM” or “we”) is acting as Controller (Art. 4 (7) GDPR) in relation to any personal data that is collected and processed in this Platform. If another Fujifilm entity is indicated in the job description, (“FUJIFILM” or “we”) shall refer to that Fujifilm entity and FUJIFILM Europe GmbH acting as Joint Controllers (Art. 26 GDPR) in relation to any personal data that is collected and processed in this Platform.
The Data Privacy Office at FUJIFILM Europe GmbH shall be your single point of contact in case of specific data protection related questions. For questions related to your application, please reach out to the HR contacts communicated to you.
What kind of personal data do we process?
- Application and Hiring Process
The collection and processing of personal data is necessary for the administration of the application and hiring process, as well as to inform you about the status of your application and possibly about new job vacancies. In this scope, FUJIFILM might collect the following personal data:
- Information provided by you during the application process such as name, email address, phone number, address, résumé, work permit, professional memberships, cover letter, educational and professional qualifications, reference letters, certificates and any other additional documents you wish to attach.
- Information regarding your social media such as login credentials if you voluntarily choose to import your profile information available in one of your existing social media network accounts (e.g. Monster board, Jobvite, LinkedIn and Xing) to our recruitment Platform.
- Information provided by you during the hiring process, such as personal contact details, marital status and dependents, gender, date of birth, national security number, tax status information, insurance number, bank account details, salary, annual leave, overtime, pension and benefits, start date, workplace, driving license, nationality and photo.
Fields which are indicated with an asterisk (*) mean that information is mandatory for completing your application process. All other fields can be filled out on a voluntary basis.
If you subscribe to our Talent Pool to stay connected with us, we will use the personal data necessary or separately provided by you to send you our email campaigns and/or newsletter(s) regarding potential career opportunities, networking events, and company information for the areas you might be interested in. Email campaigns and newsletters may contain web beacons, tracking pixels or links that allow us to analyze your use of it, including information on whether you received and opened our email campaign and newsletter. Additionally, we might also analyze your use of the Platform to gain better insight on your activity level.
You may withdraw your consent at any time either by sending a message to us or by logging into your profile page in the Platform and clicking on “Manage Email Subscriptions” available in your welcome dashboard.
Purpose and legal basis for processing your personal data
FUJIFILM processes your data solely for the purpose of managing the application and hiring process. This may include evaluating your application for one of our vacant positions, getting in contact with you about your application status, interview appointments and available positions.
Generally, the legal basis for processing your personal data during the application and hiring process is based on Art. 6 paragraph 1 lit. b GDPR meaning that processing is necessary in order to take steps at your request prior to entering into a contract.
Additionally, we may also process your personal data based on your consent (Art. 6 paragraph 1 lit. a GDPR) if you opt to receive newsletters, email campaigns or if you register for the Talent Pool to be considered for other positions within the FUJIFILM group. Whenever required, we will explicitly request your consent which you can voluntarily grant and withdraw with effect for the future.
Who has access to your personal data?
- Within the FUJIFILM group
Only authorized FUJIFILM personnel are granted access to your personal data on a need-to-know basis. Additionally, we may share your data with affiliated FUJIFILM companies during the application and hiring process and for other purposes as indicated above.
- Contractors and service providers (data processors)
We may also share your personal data with third-party service providers to the extent necessary for them to perform their services in relation to the application and hiring process and for other purposes as indicated above. In such cases, we implemented appropriate contractual arrangements to ensure the same degree of protection and compliance with this privacy policy and applicable data protection laws.
- Disclosure to recipients outside the European Union / European Economic Area
In case transferring your personal data to countries outside the European Union and/or the European Economic Area is necessary to conduct and administer the application and hiring process, FUJIFILM will ensure to have Standard Contractual Clauses (or any other valid personal data transfer method described in Art. 44 - 49 GDPR) in place to safeguard and ensure the same level of protection to your personal data.
Data retention period
We will retain your personal data related to the application process for a period of 6 months, after which it will be deleted irrevocably. However, in case you choose to register for our Talent Pool, you agree that we may store your personal data for 24 months in order to consider and eventually contact you for other positions within the FUJIFILM group. You may at any time delete your profile from our Talent Pool. Options to request deletion or unsubscribe are available on your personal dashboard.
For those who are selected and hired, their personal data will be stored and managed within the employee database and local personnel files and retained in accordance with applicable statutory requirements.
Your rights
Please note that under GDPR you have the following rights related to your personal data:
You are entitled to revoke consent at any time with effect for the future in cases consent is used as a legal basis for processing your personal data. In this case personal data will be deleted, unless FUJIFILM has a legal basis to retain it.
You are entitled to have access to the personal information we hold about you.
- Right to request correction
You are entitled to correct your personal data in case they are outdated, incomplete or inaccurate.
- Right to request download
You are entitled to request to receive your personal data that was provided to us, in a structured, commonly used and machine-readable format to transmit those data to another data controller.
- Right to restrict to processing
You are entitled, under certain circumstances, to request restriction of the processing of your personal data.
- Right to request deletion
You are entitled to request deletion of your personal data under the conditions established in Art. 18 paragraph 1 lit. a – d GDPR.
You can exercise the aforementioned rights by logging into your profile page in our Platform and placing your request under section “Data Subject Requests” available in your welcome dashboard.
The rights listed above are not absolute and only apply in certain circumstances which are in line with the applicable data protection laws.
Please note that you also have the right to lodge a complaint with a competent supervisory authority in accordance with GDPR and applicable laws if you consider that the processing of personal data relating to you infringes the GDPR. For this purpose, you can contact in particular the supervisory authority in the EU Member State of your habitual residence or the place of the alleged infringement.
